Job Summary

Our home office is looking to add an Accounts Payable Specialist to replace one of our longest tenured members who has recently retired. This individual will enter and process vendor bills, expense reports, and credit card transactions. Will also resolve A/P issues and perform tasks associated with sales tax reconciliation and payments.
What You'll Do:

  • Code vendor invoices data entry into the accounting system.
  • Manage processing 100 to 150 vendor invoices for approval and payment.
  • Verify the accuracy of vendor statements and update vendor information as needed.
  • Record and reconcile corporate credit card transactions and statements.
  • Maintain detailed records of checks, credit card payments, and ACH bank transactions.
  • Organize and manage accounts payable files and documentation.
  • Reconcile and process, sales tax payments and assist vendors regarding sales tax-related inquiries.
  • Provide prompt and courteous assistance to vendors, customers, colleagues, and management.
  • Code and process expense reports through the accounting system, overseeing payments.
  • Ensure bills and expenses are paid promptly while adhering to departmental procedures.
  • Address inquiries from vendors and employees regarding bills, expenses, and check requests, assisting with discrepancy resolution and resolving Accounts Payable issues.
  • Execute daily processes and controls, ensuring company policy and procedure adherence.
  • Handle administrative tasks to support the AP/Finance Department effectively.
  • Assist with special projects as required and perform additional duties assigned by management.
  • Secondary responsibilities may involve various bookkeeping tasks, including timesheets, service tickets, reconciliation work, and support for all company accounts receivable and accounts payable functions.

Your Background Should Include:

  • Minimum of two years of prior experience in Accounts Payable roles.
  • A high school diploma or equivalent is required; an associate's or bachelor's degree is preferred but not required.
  • Intermediate to advanced proficiency with Microsoft Suite and Excel, including report generation and formatting skills.
  • Proficient in using Quickbooks.
  • Familiarity with fundamental bookkeeping and accounting principles.
  • Excellent written and verbal communication skills.
  • Willing and able to adapt and learn new systems.
  • Excellent time management skills with the ability to multi-task, prioritize, and meet deadlines.
  • Must be self-motivated and capable of independently completing routine tasks without constant supervision.
  • Demonstrated capability to handle confidential information with discretion and trustworthiness is essential.
